Most properties run a booking engine, a channel manager, a restaurant POS and an accounting package that were never designed to speak to each other. The guest experiences that architecture as a wait at checkout while somebody adds up chits from three places.

Essence ERP holds bookings, rooms, housekeeping, outlets and billing in one system, so the folio is complete and current at every moment of the stay.

02What is in it

Bookings, housekeeping and billing without three systems

Property management for hotels, hostels and guest houses: channel-synced bookings, front desk, housekeeping, integrated POS and one folio per guest.

01

The room that just sold on an OTA is unavailable everywhere

Direct bookings, OTA channels, travel agents and walk-ins draw on one availability pool. That single behaviour removes the overbooking problem, which costs a hotel money and reviews in roughly equal measure.

  • One availability pool across every channel
  • Season, day-of-week and length-of-stay rates
  • Corporate contracts and group blocks
  • Rules-based dynamic pricing within limits
02

Room moves and extensions without a workaround

Check-in captures identity documents and guest details, assigns the room and opens the folio in one flow. Extensions, room moves, early departures and rate changes are handled properly, without the improvisation that usually leaves the billing slightly wrong.

  • Document capture and fast check-in
  • Moves, extensions and early departures handled
  • Guest profiles with history and spend
  • One folio for every charge in the property

03

The front desk knows what is sellable without ringing the floor

Room status — dirty, in progress, clean, inspected, out of order — updates live from housekeeping on mobile. A maintenance issue becomes a work order with a priority and an owner, which is how a broken air-conditioner stops being rediscovered by three consecutive guests.

  • Live room status from mobile
  • Balanced task assignment with completion tracking
  • Maintenance work orders raised from the room
  • Linen, amenity and consumable stock

04

No chit collection at checkout

Restaurant, bar, spa and laundry post directly to the guest folio, so checkout is one bill. The same outlets serve walk-ins with no room attached. Split billing handles the real cases — room to the company, extras to the guest, one bill across a group.

  • Outlet charges straight to the folio
  • Walk-in billing alongside in-house guests
  • Company/guest and group split billing
  • GST-compliant invoicing with correct rates

05

Bed-level inventory, not a nightly-rate hotel in disguise

Sharing configurations, monthly and term tariffs, security deposits and mess or meal plan billing are supported directly. For student and working hostels, resident records, guardian contacts, gate entry and complaint tracking cover what an operator needs day to day.

Includes

Bed-level inventory with sharing configurations · Monthly, term and long-stay tariffs · Security deposits and meal plan billing · Resident records, gate entry, complaints

06

Which OTA relationship is actually worth its commission

Commission is the largest cost most properties never see per booking, so it is reported net, source by source. The night audit is a controlled process, which is why the daily position does not depend on whoever happens to be on shift.

Includes

Occupancy, ADR, RevPAR and source mix · Controlled night audit, consistent daily position · Channel profitability net of commission · Booking-pace forecasting for staffing

03Integrations

Channels, payments, locks and guest messaging

Channel managers and OTA connections keep availability and rates synchronised across booking platforms. Payment gateways handle prepayment and deposits, and door locks can be integrated so key issue follows check-in.

WhatsApp, SMS and email carry booking confirmations, pre-arrival messages, checkout summaries and post-stay review requests — the cheapest reputation management a property has.

04Outcomes

What changes at the property

Properties running Essence ERP see these effects quickly:

  • Overbookings stop, because availability is single-source
  • Checkout is fast because the folio is already complete
  • Housekeeping status is live, not relayed by phone
  • Maintenance issues get an owner instead of recurring
  • Commission cost becomes visible per booking source
  • The daily position is produced, not reconstructed
